Our brief:
3 day Large Scale Conference, Syndicates, Exhibition, Guest Speaker, Team Building Activities
It was essential that the venue displayed cutting edge technology but with sustainability at its the core for our client.
With a central country, easy access brief for the venue required, we proposed Centre Parcs, Woburn. We negotiated some fantastic rates on bedrooms and meeting space, giving the client exclusivity at the venue and a feeling of exclusivity by offering an area of lodges for the accommodation.
Providing full end-to-end event project management, we supported our client in organising all elements of the event, leaving the client to focus on their agenda, speakers and workforce, whilst knowing the event was in safe hands.
Our day-to-day tasks included but by no means exclusively: liaising with the venue, sourcing, negotiating and managing suppliers for audio visual, caterers, logistics planning, food and beverage, contract and bill handling, check-ins, budgeting, on-site delivery and of course bearing in mind the venue, some suitable down time activities for everyone.
With the requirement of a Gala Dinner with guest speaker, we organised full transformation of the conference space used in the day for the evening awards and celebration dinner, with a very famous and knowledgeable Sports Presenter who didn’t disappoint on the entertainment side. The evening provided the attendees with a true night to remember.
The carbon footprint of the event was also calculated by our client, and later offset to produce a carbon neutral event.

Our brief:
Suitable Space for Private Event with good train links, Tastefully Fully Decorated Spaces, Good Food, Disco
Our client was looking for a conveniently located to public transport and their office, city centre venue with top quality themed decorated space for their private Christmas Party, we began the search of a number of locations settling on Reading.
With the event taking place in the evening after work, we approached a number of venues near to the main train station in Reading requesting details together with photos of previous events they had held. We presented our client with a clear and concise proposal specifying the venue details, availability, accommodation requirements for any not wishing to travel after, changing facilities for those coming directly from work and returning home as well as the organisation of the event, costs and a full brief for them to make the right decision.
It was important for the client that not only did they have a WOW factor space for the dinner and dancing but that there was an option of a couple of bars, one in the room and one in a quieter area where some might want to sit and chat. It was imperative that the feel, decoration, disco and entertainment was quality..the venue did not disappoint.
The client opted for Penta Hotel, Reading and the evening was a huge success with the client providing extremely positive feedback on the quality of food, service and overall experience.

Doctors and Dentists Training; 4 day event rolling for 3 months, Good Value Space, lots of small meeting rooms close to each other and one large plenary
